How we handle personal information

Draft for legal review: this text has not yet been reviewed by counsel and may change before launch.
Bookwise gives businesses a booking page that customers and AI assistants can use. This notice explains what we collect, why, who we share it with and the choices you have.
Who is responsible
When you book a business through a Bookwise booking page, that business decides how your booking details are used; it is the controller and Bookwise processes the details on its behalf. For business owners' accounts, and for calls booked with our founders, Bookwise is the controller.
What we collect
From customers: your name, mobile number or email, the booking details (date, time, service, party size, notes), the language you booked in, your time zone if your browser shares it, whether you agreed to receive offers, and payment status for deposits. Card details are entered on our payment provider's page and never reach Bookwise.
From business owners: account details (name, email, password or sign-in provider), the business information you publish, and connected calendars.
Why we use it
To make and manage bookings, send confirmations, codes and reminders, prevent double bookings and abuse, bill businesses for Bookwise Pro, and give businesses the tools they signed up for. Offers are only sent when you ticked the box. We do not sell personal information and we do not show customers' contact details to AI assistants.
Who we share it with
The business you booked; and service providers that run Bookwise for us, listed with what each does and where on our sub-processors page: hosting and database (Vercel, Neon), email (Resend), text messages (Twilio), WhatsApp messages (Meta), Bookwise Pro billing for businesses (Polar), scheduled jobs (Inngest), rate limiting (Upstash), calendar sync when a business connects one (Google, Microsoft), AI-assisted import of a business's own website (Google Gemini) and founder-call scheduling (Cal.com). Calendar feeds we share with other platforms contain no customer details.
Cookies
We use only cookies needed to run the service: your sign-in session, and on booking pages a short-lived cookie that ties a reservation to your browser plus a cookie that lets you manage your booking later. We use no advertising or analytics cookies, so there is nothing to consent to. If that changes we will ask first.
How long we keep it
Booking records are kept while the business uses Bookwise and as long as needed for its legal and accounting obligations. Verification codes and access-recovery attempts are deleted after 30 days, reservations that were never confirmed after 90 days, and message delivery logs after 400 days. A business can erase a customer's personal data on request (bookings and payments stay, anonymised), and can delete its account and data at any time.
Stopping messages
Booking reminders and updates are part of the service you asked for, so they don't need your consent to offers. You can still stop them on any channel: reply STOP to a text or WhatsApp message, or use the unsubscribe link in an email. Codes you ask for yourself still arrive.
Your rights
Depending on where you live you can ask to access, correct, export or delete your information, object to or restrict its use, and withdraw consent to offers at any time. For a booking, you can contact the business directly or email us and we will pass your request on. You can also complain to your data-protection authority.
International transfers
Our providers may process information outside your country. Where required, transfers are covered by appropriate safeguards such as standard contractual clauses.
